XL: Rows Outside AutoFilter List Are Hidden

SYMPTOMS

In Microsoft Excel, when you use the AutoFilter command to filter records in a list, data in cells that are not included in your filtered list may be hidden.

Note that this situation may occur when you copy data from the filtered list and paste it to a range that is adjacent to the list.

CAUSE

When you create an AutoFilter to filter a list of data, the entire row (record) on the worksheet that contains data that does not meet the filter criteria is hidden; if there is a column directly adjacent to the filtered list, data in this column will be hidden as well.

For example, if you apply an AutoFilter to a list in the range B1:C6, and column A or D contains data in rows 1-7, if any of the records in rows 1-6 do not meet the filter criteria, the entire row that contains that record is hidden when the list is filtered.

Additionally, if you move or delete data from a column that is adjacent to a filtered list, the filtered list continues to hide the entire row that contains data that does not meet the filter criteria.

WORKAROUND

To avoid hiding cells on your worksheet that are not part of a filtered list, when you apply an AutoFilter on the worksheet, move either the list of data you are filtering or the additional data (adjacent to the data that is to be filtered) to another location on the worksheet.

If you have already filtered your list, do the following to move the data:

  1. Select a cell in your filtered list.

  2. On the Data menu, point to Filter and then click AutoFilter. In version 5.0, on the Data menu, click Filter. If AutoFilter is active there is a check mark next to the AutoFilter command.

  3. To remove the AutoFilter from the list, click AutoFilter on the Filter submenu (on the Data menu in version 5.0) to remove the check mark.

  4. Move your data.

  5. Repeat steps 1, 2 and 3 to re-apply the AutoFilter to the list.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.
