PRJ: Calendar Exceptions Calculate Duration Incorrectly |
Q120519
The information in this article applies to:
-
Microsoft Project for Windows, versions 1.0, 3.0, 3.0a, 4.0
-
Microsoft Project for the Macintosh, versions 1.1, 3.0, 4.0
SYMPTOMS
Resource work and Duration values will be calculated incorrectly when an
actual start and an actual finish have been entered on a task that has a
resource with a calendar exception.
CAUSE
When as task is incomplete and Resource driven, a task's duration is
calculated based on the resource that has the greatest amount of work. Once
task completes (by marking it 100% complete or entering Actual Start and
Finish dates), however, the duration behaves similar to a Fixed duration
task and the duration is calculated based on the project calendar instead
of the resource's calendar.
WORKAROUND
Because the duration that is calculated by entering the Actual Start and Actual Finish date is incorrect, change the duration to the correct amount based on the resource calendar.
STATUS
Microsoft has confirmed this to be a problem in the Microsoft products that are listed
at the beginning of this article.
MORE INFORMATION
Steps to Reproduce Behavior
- In the Gantt Chart, enter a task T1 with a duration of 4 days
and enter a start date of 8/8/94. The finish date will be
8/11/94.
- Assign R1 as a resource.
- From the Tools menu, choose Change Working Time.
- In the For box, select the calendar for R1.
- Select the Day Title for Wednesday, and in the Make
Date(s) box choose Nonworking.
- Choose OK.
The start and finish dates are now 8/8/94 and 8/12/94.
- From the Tools menu, choose Tracking, and then choose
Update Tasks.
- In the Update Tasks dialog box, enter an actual start date of
8/8/94 and an actual finish date of 8/15/94 and choose
OK.
For Project 3.0 and 4.0, note that the task becomes 100 % complete, the
start and finish dates are 8/8/94 and 8/15/94, and the duration is changed
to 6 days. The Resource Usage view shows that R1 was scheduled for an additional 8 hours on Tuesday of the following week which is 8/16/94. R1
should have been scheduled to work from 8/8/94 to 8/15/94. The resource
usage will be incorrect if there are any calendar exceptions between the
actual start and actual finish dates.
NOTE: For Project 3.0, the resource usage will be correct if the
actual dates are the same as what was originally scheduled in this
case 8/8/94 and 8/12/94.
For Project 1.0, you will notice that the task becomes 100 % complete, the start/finish dates are 8/8/94 and 8/15/94, and the duration is still 4 days. The Resource Usage view shows that R1 was scheduled to work from 8/8/94 to 8/12/94 with no work on 8/10/94. The resource should have been scheduled for 8 hours on Monday 8/15/94.
To work around this problem, you would change the duration from 6 days to 5
days.
