SYMPTOMS

When you open a Word 5.x for the Macintosh document containing one or more range index entries that span two or more pages into Word 6.0 or 7.0, the page range appears in the index correctly. However, you update the index in Word 6.0 or 7.0, only the first page of the original index entry range appears in the updated index.

CAUSE

The Word converter correctly inserts a bookmark to mark the range originally delimited by .(i. and .i). codes. However, the bookmark is truncated at the first page break, resulting in loss of the full, original page range when the index is updated.

WORKAROUND

To work around this problem, follow these steps:

On the Tools menu, click Options. In the Options dialog box, click the View tab, and then click to select the All check box. Click OK.

Observe the bookmark name that follows the \r switch in the relevant XE field.

Select the entire range of the document originally specified by the index range in the original Word 5.x document.

On the Edit menu, click Bookmark. Select the bookmark name from step 2 and then click Add.

Repeat steps 1-4 for each range index entry, and update the index. Page ranges in the index will be restored.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. This problem was corrected in Word version 6.0.1 for the Macintosh. This problem was also corrected in Word for Windows version 97.

In Word 5.x for the Macintosh, you can define an index entry so that a range of pages is displayed for that entry in an index. For example,


   .i(.Index entry                   (where ".i(." is hidden text)
   <page break>
   .i).Index entry                   (where ".i)." is hidden text)

results in an entry similar to the following in an index:

In Word versions 6.0 and later, you can obtain the same result with an XE field that includes the \r switch cross referencing a bookmark that defines the range. For example, the Word 5.x example above is converted to a field entry similar to the following in Word 6.0 and later:

{XE "Index entry" \r bk0}

A bookmark named bk0 is applied to the index entry range.

The truncating bookmark problem described above does not occur in documents created in Word 6.0 format.
