PRJ4: Linked Value in Summary Task Name/Notes Field Overwritten

SYMPTOMS

In Microsoft Project, when you link the value of a field to the project summary task Name field or Notes field in your project, this linked value is overwritten if you enter a title or comments for your project using the Summary Info dialog box.

NOTE: You do not receive a prompt asking if you want to remove the link.


CAUSE

Normally, when you enter data in a field that contains a linked value, a dialog box with the following message appears:

Field contains linked data. Okay to remove entire link?
However, if the project summary Task Name or Notes field in your project contains a linked value, and you enter a new title or comments for your project using the Summary Info dialog box, the text that you entered in the Title box or the Comments box in the Summary Info dialog box replaces the value in the project summary field without warning. However, the link still exists.

When you enter text in the project summary Task Name field, or the Notes field, this information is automatically entered in the Title box or the Comments box on the Document tab in the Summary Info dialog box. Additionally, when you enter information in the Title box or the Comments box in the Summary Info dialog box, this information is automatically entered in the project summary Task Name field or the Notes field, even if that field contains a linked value.


WORKAROUND

To update the linked value in a project summary Task Name field or Notes field on your project, do the following:

Method 1

Recalculate your project by pressing your F9 function key or by choosing the Calculate Project button on the Calculation Tab of the Options dialog box.

Method 2

Update the link by doing the following:

  1. From the Edit menu, choose Links.


  2. Select the link that you want to update, and choose Update Now.


  3. Close the Links dialog box.


NOTE: This procedure updates the information on the Document tab in the Summary Info dialog box with the new information displayed in the project summary Task Name field or Notes field.


STATUS

Microsoft has confirmed this to be a problem in the Microsoft products that are listed at the beginning of this article.


MORE INFORMATION

You can select the Show Summary Tasks check box on the View tab of the Options dialog box to display summary tasks. With this check box selected, you can select the Project Summary Task check box to display project-level summary tasks. This option is useful when you are viewing consolidated projects.
