Legend in PERT Chart Cut Off with Color Printer/Color Option

SYMPTOMS

In Microsoft Project, when you print a PERT Chart to a color printer, some of the fields on the legend page may be cut off.


CAUSE

When you print a PERT Chart to a color printer in Microsoft Windows, or you select the Print Using Color option in Microsoft Project for the Macintosh, the following fields are printed on the legend page: Critical, Noncritical, Critical Milestone, Noncritical Milestone, Critical Summary, Noncritical Summary, Critical Subproject, Noncritical Subproject, Critical Marked and Noncritical Marked.

Microsoft Project for Windows

In Microsoft Project for Windows, when you print a PERT chart to a color printer, the Critical Summary and Noncritical Summary fields are cut off, and the following fields do not print at all: Critical Subproject, Noncritical Subproject, Critical Marked, and Noncritical Marked. This behavior occurs both in print preview and on the printout.

Microsoft Project for the Macintosh

In Microsoft Project for the Macintosh, when you print a PERT Chart with the Print Using Color check box selected in the Print dialog box, the Critical Subproject and Noncritical Subproject fields are cut off.

This behavior occurs because by default, the box style size for the PERT Chart is set to Medium. The fields are not scaled to fit on the legend page, and consequently do not all fit on the legend page. The number of fields that fit on the legend page depends on the option selected in the Size list on the Boxes tab of the Box Styles dialog box.


WORKAROUND

To work around this problem, use any of the following methods.

Method 1

Prevent the Legend from printing by doing the following:

  1. From the File menu, choose Page Setup.


  2. Select the Legend tab.


  3. Under Legend On, select the None option, and choose OK.


Method 2

Print the Pert Chart to a noncolor printer (Windows) or clear the Print Using Color option in the Print dialog box Macintosh). When you do this, the following fields print (completely) on the legend page: Critical, Noncritical, Milestone, Summary, Subproject, Marked.

Method 3

(Macintosh Only) Set the box size on the PERT Chart to the smallest setting by doing the following:

  1. In the PERT Chart, choose Box Styles from the Format menu.


  2. Select the Boxes tab.


  3. From the Size list, select Smallest (ID Only), and choose OK.


Note that if you use these steps to correct this problem in Microsoft Project for Windows, the Critical Summary and Noncritical Summary fields are printed, but the Critical Subproject and Noncritical Subproject fields are cut off.

Method 4

Print to larger sized paper or change the orientation from Portrait to Landscape. For example, use Legal sized paper printed in the Landscape orientation. This will provide more space for the legend boxes.


STATUS

Microsoft has confirmed this to be a problem in the Microsoft products that are listed at the beginning of this article.
