PRJ41: How to Save Project Data to Microsoft Access 2.0 Database

Before you can open a project from or save a project to a Microsoft Access database, you must create a database in Microsoft Access 2.0, and then create an ODBC data source to that database.

NOTE: Because there are several versions of Windows, the following steps may be different on your computer. If they are, please consult your product documentation to complete these steps.

To Create a Microsoft Access 2.0 Database

1. Run Microsoft Access 2.0.
2. On the File menu, click New Database.
3. In the New Database dialog box, select a location and name for the new database. Remember the name and location for later use.
4. Click OK.
5. Quit Microsoft Access 2.0.

To Create a Data Source That Refers to the Microsoft Access 2.0 Database

1. Click Start, point to Settings, and then click Control Panel.
2. In Control Panel, double-click the 32-Bit ODBC icon.
3. Click Add.
4. Select Microsoft Access Driver (*.mdb) and click OK.
5. In the Data Source Name field, type a description for this data source.
   
   This description is the name that you will see in Microsoft Project. Use a name such as "<File name>.mdb--Access 2.0" (where <file name> is the name of a file).
6. Click Select.
7. In the Select Database dialog box, find and select the Microsoft Access 2.0 database file that you want to save Microsoft Project files to or open data from. Click OK twice.
8. Close the 32-bit ODBC control panel.

To Save a Project to a Database

1. In Microsoft Project, open the project file that you want to save to a database.
2. On the Tools menu, click Multiple Projects, and click Save To Database.
   
   If a dialog box comes up asking for a Title, enter a title and click OK.
3. In the SQL Data Sources dialog box, click the entry you created in Control Panel and click OK.
   
   If a dialog box appears prompting you to create some necessary tables, click Yes. If you click No, the process will halt.

Microsoft Project will save your project file to the Microsoft Access 2.0 database.

To open a project file from a Microsoft Access 2.0 database

1. On the Tools menu, click Multiple Projects, and click Open From Database.
2. In the SQL Data Sources dialog box, click the entry you created in Control Panel. Click OK.
3. Click the name of the project that you would like to open in Microsoft Project, and click OK.

Microsoft Project will open the data you selected.
