SUMMARY

In Microsoft Excel for the Macintosh, you can exchange information between two programs by creating a publisher in one program and subscribing to it from another program. The examples in the "More Information" section of this article contain steps that illustrate how to publish an edition of a Microsoft Excel embedded chart and subscribe to it from Microsoft Word version 6.0 for the Macintosh. The examples also show you how to make sure that changes that are made to the publisher are reflected in the subscriber.

To create a sample chart

  1. In Microsoft Excel for the Macintosh, open a new workbook and type the following data in a worksheet:

          A1:             B1: Fruits      C1: Vegetables
          A2: Store A     B2: 78         C2: 26
          A3: Store B     B3: 48         C3: 45
    
    

  2. Select cells A1:C3, and on the Insert menu, point to Chart, and click On This Sheet.

  3. On the sheet, drag a rectangular area for the embedded chart, and, in the Chart Wizard Step 1 of 5, click Finish.

An embedded chart will be created on your worksheet and it will be selected but not activated.

To create the edition

  1. In Microsoft Excel, select the chart you created in the "To create a sample chart" section of this article.

  2. On the Edit menu, point to Publishing, and click Create Publisher.

  3. If Desktop is not already selected, click the Desktop button.

  4. Click Options.

  5. In the Copy Picture dialog box, under Appearance, click As Shown On Screen.

    NOTE: This step will cause the chart to be displayed as expected when it is subscribed to from other programs.

  6. Accept the default edition name, and click Publish.

To create a subscription to the published object

  1. Start Microsoft Word for the Macintosh.

  2. On the Edit Menu, point to Publishing, and click Subscribe To.

  3. If the Desktop button is available, click it. Verify that the edition created in the "To create the edition" section of this article is selected, and click Subscribe.

The chart you created in Microsoft Excel will be placed in the Word document.

To update the subscription after you change the edition

  1. Activate Microsoft Excel for the Macintosh.

  2. Select cell B2 and type "1000" (without the quotation marks).

  3. Click the chart to select it, and then click Links on the Edit menu.

  4. Click Update Now, and then click OK.

When you activate Microsoft Word, note that the chart has been updated.

To remove a publisher and its edition

  1. Activate Microsoft Excel, and open the sample workbook.

  2. Make sure the embedded chart is selected, and click Links on the Edit menu.

  3. Click Options. Click Cancel Publisher, click Yes, and click OK.

    NOTE: The contents of the publisher (the chart) remain in both the Microsoft Excel worksheet and in the Word document that subscribed to the edition, but the link has been removed.

  4. In the Finder, drag the edition from the desktop to the Trash.

  5. Activate Microsoft Word, and open the sample document.

  6. On the Edit menu, point to Publisher, and click Subscriber Options.

  7. Click Cancel Subscriber, and then click Yes.

The chart will still exist in the Word document, but it will no longer be linked to the chart in the Microsoft Excel document.
