XCLN: Granting Access to Your Mailbox to Other Users

SUMMARY

Microsoft Exchange has a feature that allows users to access other user's mailboxes. The owner of the mailbox can grant permission to access only a certain folder or the entire mailbox. However, the owner must grant Read items permission on their mailbox to allow other users to access their mailbox and folders. This is by product design.

If a user has been given permission to access a folder, but not Read items permission on the mailbox, they will see the following error message when they try to access the folder:
The set of folders could not be opened. You do not have sufficient permission to perform this operation on this object. See the folder contact or your system administrator.

To grant access to your mailbox:
  1. In the folder list of a Microsoft Exchange Client, select your mailbox or a mailbox folder.
  2. From the File menu, choose Properties, and then select the Permissions tab.
  3. To add a name to the Name/Role list, choose Add.
  4. Under Type Name or Select from List, type or select the name, choose Add, and then choose OK.
  5. Select the name in the Name/Role list for which you want to grant permissions.
  6. Under Permissions, select a predefined role from the Roles box or select the individual permissions that you want to grant. You must grant a minimum of Read items (Reviewer role) permission to allow another user to open your mailbox.
  7. Choose OK.
Repeat this procedure for every folder that you want to make available to other users.
