PRJ: Text Truncated in Print or in Print Preview

SYMPTOMS

When you print or view a text field in print preview, the text may become truncated even though the text displays correctly on the screen. The truncation can occur even if you used the Best Fit button to fit the formatted text to the column.

CAUSE

When you click the Best Fit button in the Column Definition dialog box, the fit depends on the resolution of your computer screen in relationship to the font you are using. (That is, the Best Fit feature does not work in conjunction with the printer driver).

RESOLUTION

You may need to make minor adjustments in order to print your entire project. To do this, use either of the following methods.

  • Method 1: Apply a TrueType font to the Row & Column Titles selection in the Text Styles dialog box:

    1. On the Format menu, click Text Styles.
    2. In the Item To Change, click Row & Column Titles.
    3. Select a TrueType font from the Font list. Examples of a TrueType fonts are Arial, Times New Roman, and Courier New.
    4. Click a font size from the Size list or type a value between 4 and 127 in the Size box. You may also choose to select one of the Bold, Italic, or Bold Italic check boxes. Click OK.
  • Method 2: Adjust the column width of the truncated column to be larger than the entered text. The amount of the adjustment that is needed may vary based on the applied font, font style, and font size.

    1. Place the insertion point over the title of the column and double-click it to activate the Column Definition dialog box.
    2. In the Column Definition dialog box, click the Width box and change the pixel value to a larger value.
    3. Click OK.
    4. On the File menu, click Print Preview.
    If the text is still being truncated, repeat steps 1 through 4 of Method 2.

MORE INFORMATION

This behavior occurs in all versions of Microsoft Project; however, the behavior is more prevalent on Macintosh computers because the default font style is 9-point Geneva (in Windows the default font is usually the TrueType font Arial). If you format the default entry table in Microsoft Project for Windows 4.0 to use the MS Sans Serif font, you will experience the same truncation behavior on the Windows platform.
